Google sends a Cloud Pub/Sub notification whenever a review is added or updated. The agent reads it through the API: star rating, text, display name and date, or an anonymous flag when the reviewer chose not to show their name.
Replies your team approves
The agent drafts a reply of its own for each review and, once your team approves it, posts it through the API. Google checks the reply before showing it, and the API reports whether it's pending, approved or rejected.
The profile's text or WhatsApp button
Whoever taps the messages button on your profile reaches your text or WhatsApp number, where the sales agent answers. For companies with many locations, that button can be set through the API, location by location.

Access to the Business Profile APIs
The Business Profile APIs aren't public: Google approves access per project and requires the applicant to manage a profile verified and active for 60 days or more, plus a business website. Then an owner or manager of the profile authorizes the connection over OAuth 2.0.

Google offers no sandbox for these APIs, so we start with one pilot location and human approval of every reply, stay within the usage limits and roll out in phases.
Profile chat is now text or WhatsApp, and that's where the agent answers
Google retired chat on Business Profiles: chatting from the profile, its history and quote requests are no longer available (Google). Google says the change also affects the Business Messages API, and it discontinued the Business Profile Q&A API as well (Google).
Instead, a verified profile can add a WhatsApp or text messaging button to its contact info, in the regions where Google offers it (Google). If you add both, Google shows only the text messaging option, so pick the channel your customers actually use.
That button leads to your number, and the sales agent answers there: prices, stock, hours or order status from your CRM, then it qualifies the inquiry and logs it in Salesforce. On WhatsApp, the customer's first message opens the 24-hour window and the agent replies without a template.

According to Google, the text or WhatsApp button is available in select regions and for verified profiles.
Many locations, one agent: the Business Information API can set the WhatsApp link (wa.me) or the text messaging number on each location (Google), so a chain with many branches doesn't do it by hand.
Asking for the review once the delivery is confirmed
Google suggests sharing your review link at the end of a chat or in a WhatsApp message (Google). The last-mile agent does it at the right moment: when the driver closes the delivery with its proof of delivery, the agent sends the customer your profile's review link in the same conversation where they tracked the order.
The request goes to every customer with a confirmed delivery, with the same message. Google doesn't allow asking only satisfied customers, offering discounts or gifts in exchange, or asking customers to mention someone on your team (Google). If the customer replies with a problem, the agent passes it to your team with the delivery details.
On WhatsApp, outside the 24-hour window, the message goes out as a template approved by Meta. Meta lists feedback requests about a specific order, with no promotion, among its utility use cases; a generic one isn't approved as utility (Meta). More on WhatsApp template categories.
What the agent doesn't do: offer something in exchange for a review or send the link only to happy customers. Google treats that as fake engagement and can restrict the profile, for example by blocking new reviews for a set period (Google).
Replying to Google reviews with an agent, without copy-paste replies
When a review comes in, the agent reads it, looks up the context in your CRM and drafts a reply that picks up on what the customer said, not a generic thank-you. That's what Google recommends: don't send everyone the same thank-you (Google), and repetitive content is one of the reasons Google gives when it rejects a reply (Google).
The reply is posted once your team approves it. Google's API policies require the business's prior, specific and express consent to automate review replies, and the business's authorization for anyone replying on its behalf (Google). Google then reviews the reply, which usually takes up to 10 minutes and sometimes up to 30 days, and notifies the reviewer (Google).
For a negative review, the agent alerts your team and proposes a reply that acknowledges the issue and offers to continue privately, with no personal details about the customer, as Google advises. One honest caveat: the API returns the reviewer's display name, not their phone number or order, so matching a review to a delivery isn't always possible.

Reviews and messaging in the US: the FTC rule, SMS and Salesforce
In the US, the FTC's rule on consumer reviews and testimonials bans fake reviews, including AI-generated ones, incentives conditioned on a positive or negative review, and threats to get a negative review removed (FTC, 2024). The last-mile agent's flow asks, it doesn't condition: the same message for everyone, with nothing in exchange.
The channel matters too. 32% of US adults use WhatsApp (Pew Research Center, 2025) and Meta doesn't deliver marketing templates to US phone numbers (Meta). For US customers, the text messaging button on your profile is worth considering, and the review request can go out over SMS, with the consent and A2P 10DLC registration covered on that page.
