Integrating QuickBooks with Vantegrate's AI agents means an agent works on your live QuickBooks Online company through the official Accounting API: it enters the bill a vendor sends you, builds the estimate or invoice for a deal closed in Salesforce, and tells a customer which invoices are still open. That is different from exporting spreadsheets or re-keying in accounting what sales already entered. Connection through the Accounting API

The connection uses an app registered in the Intuit Developer Portal and OAuth 2.0 with the accounting scope. Someone at your company authorizes it once, and access is tied to your company (its realm ID).

Entities, accounts and rules

We define what each agent reads and writes: vendors and their bills for Arconte; customers, estimates, invoices and payments for Sellium; read-only access for Metrix. Accounts, classes and items are mapped with your accountant.

Real-time events

We subscribe to Invoice, Payment and Bill webhooks and validate every notification with its HMAC-SHA256 signature. A daily change data capture (CDC) query recovers any event that didn't arrive, as Intuit recommends.

Sandbox test and phased rollout

We test in a QuickBooks sandbox company, then with your real documents, validate with your accountant and switch on one workflow at a time, within the limit of 500 requests per minute per company.

From deal to invoice

Salesforce and QuickBooks: close the deal in your CRM, invoice it without re-keying

At many companies the deal lives in Salesforce and the books live in QuickBooks, and someone in between copies the customer, the line items and the price. That double entry is where the mismatches that later surface in collections come from. Vantegrate has been a Salesforce partner since 2009, and its agent connects both systems through their official APIs.

When an opportunity is won in Salesforce, the agent looks up the customer in QuickBooks (or creates it), builds the estimate or invoice from the deal's line items and writes the number and status back to Salesforce. When QuickBooks records the payment, the webhook fires and the Salesforce account shows the current balance, without anyone asking accounting.

Sales tax stays with QuickBooks. For US companies on its automated sales tax engine, QuickBooks Online calculates the tax from the shipping address and the company's location (Intuit). The agent doesn't compute tax on its own: it sends the address and lets QuickBooks apply the right rate.

Living alongside Intuit's AI

Intuit's agents, the QuickBooks MCP server and where a Vantegrate agent fits

QuickBooks ships its own AI. Intuit introduced payments, accounting, finance and customer agents inside QuickBooks Online for its US customers (Intuit): they categorize transactions, help with reconciliation, create and send invoices and reminders, and analyze the numbers. Intuit Intelligence adds answers to business questions on top of that data (Intuit). All of it works inside QuickBooks, for the person who runs the books.

Intuit also publishes an open-source MCP server for QuickBooks Online (GitHub): it runs locally, on the machine of whoever installs it, and requires your own app in the Intuit Developer Portal, pointed at a sandbox or production company. And with the QuickBooks connector in Claude or the plugin in ChatGPT, each person signs in with their own account and creates invoices, estimates and payment links from their assistant (Intuit).

Those tools serve a person working with their own assistant. A Vantegrate agent works for the company: it answers customers over SMS, web chat or WhatsApp at any hour, processes documents from any channel and connects QuickBooks with Salesforce, through one authorization your team controls and can revoke, explicit rules about what it may write and a log of every operation.

No stepping on each other: if Intuit's payments agent already sends payment reminders, Sellium doesn't duplicate them: it handles the customer's reply in the chat, shows the balance and shares the payment link. That split is defined during discovery.

United States

Collecting in the US: payment links, reminders and the right channel

Payment links depend on QuickBooks Payments. The Accounting API returns an invoice's payment link (Intuit), and when the customer pays, QuickBooks processes the payment and categorizes it (Intuit). QuickBooks Payments is subject to Intuit's eligibility criteria and application approval, and in Intuit's assistant integrations the features that require it are available only in the US (Intuit).

The channel matters as much as the link. WhatsApp reaches 32% of US adults and 56% of Hispanic adults (Pew Research Center, 2025), and Meta does not deliver WhatsApp marketing templates to US (+1) numbers (Meta). A reminder about a specific open invoice can go out as a utility template instead: Meta reserves that category for non-promotional messages specific to the user, and its own examples include payment reminders (Meta).

Text messages carry their own rule: anyone sending SMS from an application to US numbers over a 10-digit long code must register for A2P 10DLC (Twilio). The SMS integration covers how the agent handles it.

What changes for the agent: the logic is the same in every channel: it checks open invoices in QuickBooks, answers with the balance and shares the payment link. Reminders to US numbers go out as utility messages or by text, and we pick the channel for each customer segment during discovery.

Intuit's revenue covers the whole QuickBooks Online Accounting line, not only the US. Enlyft counts the companies its dataset detects using each tool (60,768 for Xero, per Enlyft), not paying customers, so read it as relative footprint.

The integration doesn't take your books anywhere

The principle is simple: AI comes to your data, not your data to the AI. The agent reads and writes in your QuickBooks through the official API, with the authorization your company grants.

  • Connection through the QuickBooks Online Accounting API with OAuth 2.0: access tokens last 60 minutes, the refresh token expires after 100 days without use, and disconnecting the app in QuickBooks ends the connection.
  • QuickBooks groups permissions into broad scopes (accounting and payments), so the agent's rules set what it reads and writes: Arconte never touches sales invoices and Metrix is read-only.
  • Your books stay in your QuickBooks, and every operation the agent takes is logged. During discovery we define how it confirms that whoever asks about a balance is the customer's contact on record.
  • The agents run on Salesforce or Oracle Cloud Infrastructure, whose SOC 2 and ISO 27001 certifications belong to those platforms, not to Vantegrate or QuickBooks.

Doesn't QuickBooks already read my vendor bills?

Partly, yes. QuickBooks Online lets you email it receipts and bills: it extracts details like dates and amounts and drafts a transaction for you to review (Intuit). Arconte goes beyond that capture: it reads the line-level detail, checks the vendor and the purchase order, makes sure the bill isn't already entered and applies your coding rules. Anything that doesn't reconcile goes to an exception queue for human review.

How much does the QuickBooks API cost?

Intuit meters reads, not writes. Under its partner program, creating or updating invoices, bills, customers or vendors are generally Core calls, unmetered and free; reading accounts or reports are CorePlus calls, which are metered. The free tier includes 500,000 reads a month, and past that cap, they're blocked until you move to a paid tier (Intuit). So the integration reads only what it needs, with webhooks. Does it work with QuickBooks Desktop?

The REST API, webhooks and OAuth 2.0 belong to QuickBooks Online. QuickBooks Desktop connects another way: Intuit's Desktop SDK, with QBXML messages between QuickBooks and a program on the same machine or local network (Intuit). So a Desktop case is scoped separately. The weight is on the Online side: per Intuit's Form 10-K, QuickBooks Online Accounting brings in almost three times the revenue of QuickBooks Desktop Accounting.
