Integrating Avalara with Vantegrate's AI agents means the agent asks AvaTax for the tax on every quote instead of working it out on its own: it validates the customer's address, checks for an exemption certificate in that state and replies over SMS, web chat or WhatsApp with the correct total. It connects through the AvaTax REST API, using your own account credentials.
That's different from copying a rate out of a spreadsheet or entering the same sale in two systems. The quote is calculated as an estimate that AvaTax doesn't save, and the sale is recorded exactly once, by the system that invoices it. Your tax rules, nexus settings and certificates stay in your Avalara account: the agent doesn't copy them anywhere else.

What data moves between Vantegrate and your Avalara account
The agent uses standard functions of the AvaTax API: it calculates, validates and looks up what it needs to answer the customer, and records only what your rules allow.
Quotes with the tax calculated
Sellium asks AvaTax for the tax on the quote as a SalesOrder, the transaction type AvaTax uses for an estimate it doesn't save, and replies to the customer with the total, the tax and the shipping charge.
Exemption certificates by state
Before quoting, the agent checks whether the customer has a valid certificate for the ship-to state. If not, it sends the CertExpress invitation or uploads to Avalara the PDF or photo the customer shares in the chat.
Addresses and vendor invoices
The ship-to address is validated with AvaTax before any calculation. Arconte records a vendor invoice with the tax that vendor charged you, and AvaTax calculates the difference from the tax that was actually due.

Connection through the AvaTax API
The agent authenticates with your Avalara account number and license key, the method Avalara recommends for connectors. Sandbox and production use separate credentials.
Products, customers and nexus
We map your products to AvaTax tax codes and your customers to their customer codes in Avalara. Your tax team keeps managing nexus: if no nexus is declared, AvaTax calculates no tax.
Who records the sale
We decide which system writes the final invoice to AvaTax: your ERP, your billing system or the agent. That way each sale is reported only once on your sales tax returns.
Sandbox test and phased rollout
We test in an AvaTax sandbox environment, whose data is never reported to a tax authority, then with real quotes your team validates, and we switch on one workflow at a time.
Why sales tax depends on where your customer is
In the US, sales tax is set by the states and, in most of them, by local governments as well (Tax Foundation). So the rate on a quote changes with the ship-to address, and a rate table maintained by hand goes stale on its own.
Not having an office in a state doesn't keep you out of its sales tax either. In South Dakota v. Wayfair, the Supreme Court overruled the physical presence rule (opinion text): a state can require an out-of-state seller to collect its sales tax. The South Dakota law before the Court covered sellers that delivered more than $100,000 of goods or services into the state, or made 200 or more separate sales there, in a year.
AvaTax calculates based on the nexus your company declares: your tax profile tells it where you must collect, and its MCP server exposes the nexus definitions for each jurisdiction (Avalara). The agent decides none of that: it applies what AvaTax returns.
If your company is based outside the US and sells into it: neither the agent nor Vantegrate decides your nexus. Your tax team or your Avalara advisor does, and the agent follows it on every quote.
Quotes and invoices in AvaTax: what the agent records and what it doesn't
AvaTax handles every operation in two forms. A SalesOrder is a temporary quote: AvaTax calculates it and doesn't save it. A SalesInvoice is the final sale, which is recorded and is the only one that goes on a tax return (Avalara).
The agent always quotes as an estimate. When the customer accepts, the tax is recalculated at the moment of sale, because the rate, the address or your company's setup can change between the quote and the purchase, as Avalara points out. That invoice is recorded by the system that bills it, or by the agent if that's what we agree on.

If Avalara is already connected to your ERP or Salesforce: Avalara publishes its own integrations for Salesforce, NetSuite, QuickBooks and Stripe. The agent doesn't replace them: during discovery we define who records each sale, so none is entered twice.
Exemption certificates: customers send them in the chat and they land in Avalara
In B2B sales, many customers don't pay sales tax because they buy for resale or hold a direct pay certificate. Avalara notes that the seller must document that certificate and be able to produce it in an audit (Avalara).
Before quoting, the agent checks whether the customer has a valid certificate for the ship-to state. If not, it can send a CertExpress invitation, Avalara's site where customers upload their certificates themselves, or take the PDF or photo in the chat and upload it to Avalara through the API. A new certificate becomes available after a short processing delay.
Those functions use Exemption Certificate Management (ECM), Avalara's certificate module, also known as CertCapture (Avalara). ECM has its own AI assistant that scans and validates every certificate that comes in (Avalara).
Who validates the certificate: Avalara does, not the agent. Arconte extracts the document's data and uploads it; until ECM treats it as valid, the quote keeps the sales tax, unless your team sets a different rule.
Avi, Avalara's MCP servers and where a Vantegrate agent fits
Avalara ships its own AI. It publishes MCP servers for AvaTax, returns, exemption certificates and other services, with sandbox and production environments, and they connect through an OAuth flow in which each person signs in with their own Avalara login (Avalara). The AvaTax server calculates tax, validates addresses and recommends tax codes for a product (Avalara).
On top of that, Avi, Avalara's agent, takes requests from other agents over the A2A protocol (Avalara), and its Outlook version scans incoming invoices and validates their taxes and certificates (Avalara). All of it works for the tax team, inside Avalara.
