In B2B almost nobody buys without asking for a price first, and price requests arrive whenever they arrive: a Tuesday at 7 p.m., a Saturday morning, in the middle of twenty other inquiries. It is the step that depends most on someone having time, which is why it is where the most sales slip away.

The rules you need to define before automating

The agent does not make up commercial policy: it applies yours. That is why the most important groundwork is writing down the rules that usually live in each rep's head.

With these six definitions, the agent knows what it can quote on its own and when it has to hand the conversation over:

  • List per customer: which list applies to each account, channel, region or purchase volume, and which one a new customer sees before one is assigned.
  • Maximum discount: the ceiling the agent can apply without approval. Above it, the quote goes to whoever approves it, with the order already built.
  • Tiers and minimums: the quantity at which the price changes, whether there is a minimum order and whether you sell in multiples of a case or a pallet.
  • Validity: how many days the quote is valid and what happens to the price if the customer accepts later.
  • Delivery time: how it is calculated based on available inventory, region and the day of the order.
  • Handoff: which cases go to a rep, such as off-catalog products, large amounts, strategic accounts or a customer who asks to talk to a person.

Where to start: with what is already written down, such as the current price list, the discount policy and the terms of sale. Whatever is not written down gets mapped during implementation, and that is usually where the exceptions that eat up the most team time show up.

Not everything gets automated, and it does not need to be. The rule of thumb: if the quote comes from applying rules, the agent does it; if it comes from negotiating or designing a solution, a person does it. Following up on the quote you sent

A quote with no follow-up is a sale that depends on the customer's memory. Because the agent logged it in the CRM, it knows what was quoted, to whom and when it expires, and it can pick it back up without anyone having to remember.

One WhatsApp rule governs everything: as long as the customer wrote in the last 24 hours, the agent can reply freely, and the first 1,000 service messages per number per month are free. Caveats: the Harvard Business Review figure measures web leads contacted by phone or email, not WhatsApp quotes, and is used as a reference for response speed. The Gartner survey covered 632 B2B buyers, who still prefer to talk to a rep when deciding whether a solution fits.
