Integrate Acumatica with AI agentsthat quote from live inventory and enter the order
Vantegrate's AI agents connect to Acumatica through its contract-based REST API with OAuth 2.0: they check inventory by warehouse and each customer's pricing, quote over WhatsApp, SMS or web chat, enter the sales order and the vendor bill, and log every conversation in Salesforce. Your ERP data stays in your Acumatica instance.
How the data flows
What does it mean to integrate Acumatica with Vantegrate's AI agents?
Integrating Acumatica with Vantegrate's AI agents means that an agent, such as the sales agent that answers customers on WhatsApp, SMS or web chat, works on your live ERP through Acumatica's contract-based REST API: it checks inventory by warehouse and the customer's price, builds the quote and enters the sales order. It connects with OAuth 2.0 and only the roles you authorize.
That is different from a bot that answers from last week's spreadsheet export. Here the agent reads current data from your instance and writes the result where it belongs: a sales order, a vendor bill, an activity. Because each endpoint's contract is fixed, customizing a screen doesn't break the integration. Your business data stays in your Acumatica, and the conversation is logged in Salesforce when that's your CRM.

What data moves between Vantegrate and your Acumatica
The agent works on the standard entities of Acumatica's API in real time: it reads to answer and records every order and every document where it belongs.
Inventory by warehouse and pricing
The agent reads items with their prices and quantities by warehouse to answer right away whether something is in stock and at what price.
Sales orders and vendor bills
When the customer confirms, the agent creates the sales order with the right unit of measure; on the purchasing side, the vendor bill is entered against the lines of its purchase order.
Change alerts without polling
With push notifications, the agent learns when a generic inquiry changes (an order that shipped, stock that dropped) without polling the ERP over and over.
How the integration works, step by step
Vantegrate handles the setup and rollout. Your team authorizes, validates and starts using it.
Connected application and OAuth 2.0
We register a connected application in your instance and authorize it over OAuth 2.0 on HTTPS, against the standard endpoint, whose contract doesn't change with your customizations.
Integration user and least-privilege roles
We define an integration user with narrow roles: it reads items, warehouses and customers, and creates sales orders and vendor bills. Every session is closed when the work is done, to protect your license's API capacity.
Rules, inquiries and alerts
We load your business rules (which price list applies, which warehouse ships, when to hand off to a rep) and the generic inquiries that trigger alerts.
Validation with real data
We test with real orders and bills in a test environment, validate with sales, purchasing and IT, and roll out in phases.
Contract-based API, push notifications and OData: where the agent connects
Acumatica offers several integration surfaces, each with its own job. The main one is the contract-based REST API: it works with business objects (sales order, item, customer, vendor bill) rather than screens, so a customization or a localization doesn't break it (Acumatica).
For an agent that sells, the usual combination is simple: it reads inventory and price through the API when the customer asks, enters the order the same way, and learns about changes through push notifications, which Acumatica sends as JSON with up to five delivery attempts (Acumatica). Acumatica's webhooks, by contrast, are inbound and need a custom handler. Metrix questions run on OData over generic inquiries.
| Surface | What the agent does | What to know |
|---|---|---|
| Contract-based REST API | Reads inventory and prices, creates orders and vendor bills | Fixed contract per endpoint version |
| OAuth 2.0 with a connected app | Authenticates the agent's connection | Requires HTTPS; access follows the user's roles |
| Push notifications | Learns when a generic inquiry changes | JSON to an HTTP address, up to five attempts |
| OData on generic inquiries | Feeds Metrix's answers | OData 4.0, with some exceptions |
| Inbound webhooks | Receive data from another app | Custom handler; counts toward API limits |
Surfaces documented by Acumatica; which ones your project uses depends on your version and your license.
Your data stays in your instance: the agent reads and writes in Acumatica through the API, with an integration user and narrow roles, without copying your database to another system. Every operation is logged and auditable.
Acumatica already has its own AI: what a connected agent adds
Acumatica builds AI into the ERP: its AI Assistant answers everyday-language questions about the generic inquiries an administrator exposes, document recognition reads PDF vendor invoices from email so a user can create the AP bill in one click, and AI Automation lets you build agents that work on a form (Acumatica). These tools serve the people who work inside Acumatica.
What they don't cover is the conversation with your customer, who never logs in to your ERP. That's where Sellium works: it answers over WhatsApp, SMS or web chat with Acumatica's inventory and price lists and enters the order. If your sales team runs Salesforce, the conversation is logged there, without stepping on Acumatica's own Salesforce sync for accounts, contacts, items and prices (Acumatica).
Arconte adds the documents Acumatica's recognition isn't built for: delivery notes, customer purchase orders, phone photos and invoices from other countries, since that service works best with US-format invoices (Acumatica).
Acumatica also lets you configure MCP servers that expose generic inquiries as tools for external AI assistants (Acumatica, Integration Guide 2026 R2). Every call runs on behalf of the signed-in user, which suits one person's assistant. An agent that serves customers for the company uses the REST API with an integration user and least privilege, because besides reading it enters orders.
A customer-facing agent fits Acumatica's typical customer: Enlyft detects it most often at US firms with 50 to 200 employees (Enlyft), and Nucleus Research named it a Leader in its SMB ERP Technology Value Matrix (Acumatica, 2026). At that size, the same few people often quote, enter orders and process bills, so every request the agent answers is time back for the team.
Who does what: during discovery we define what Acumatica's AI handles and what the agent handles, so nothing is entered twice. Vantegrate doesn't replace those features: it brings your ERP to your customers' channels.

|---|---|---|
| Data source | A copy that drifts | Your source of truth, live |
| Where your data lives | In a third-party system | In your environment, encrypted end to end |
| Result of each operation | Stuck in another app | Written back to your Acumatica |
| Permissions and audit | Broad and hard to audit | Least-privilege scope and an audit trail |
| Reaching production | Often stalls as a pilot | Validated, phased rollout |

Data agent: your team asks about sales, inventory or margins in plain English from Slack, Microsoft Teams, WhatsApp or the web, and Metrix answers from Acumatica's generic inquiries, showing each person only what they're allowed to see.
Explore MetrixThe integration doesn't take your data anywhere
The principle is simple: AI comes to your data, not your data to the AI. The agent reads and updates your Acumatica through the official API, with an integration user and narrow roles, and logs every operation. Access you can audit matters: in Okta's Businesses at Work report, 58% of organizations rank AI governance and identity as their top concern (Okta).
- Connection through Acumatica's contract-based REST API, with OAuth 2.0 over HTTPS and a connected application registered in your instance, with no scrapers and no spreadsheets in between.
- Least-privilege roles for the integration user: it reads items, warehouses and customers, and creates only the documents your use case needs.
- Your database stays in your Acumatica instance: the agent reads and writes through the API, and every operation is logged and auditable.
- The agents run on Salesforce or Oracle Cloud Infrastructure, whose SOC 2 and ISO 27001 certifications belong to those platforms, not to Vantegrate or Acumatica.
Frequently asked questions about the Acumatica integration
What sales, operations and IT teams usually ask before connecting an AI agent to Acumatica.
How do I integrate Acumatica with an AI agent?
How do I integrate Acumatica with an AI agent?
Through a connection to Acumatica's contract-based REST API, authorized with OAuth 2.0 from a connected application registered in your instance. The agent reads prices and inventory by warehouse, enters sales orders and vendor bills, and learns about changes through push notifications. Vantegrate handles the setup and rollout; your team defines the integration user and its roles. For the wider picture, see Selling on WhatsApp with your ERP.
If Acumatica already has its own AI, why add an agent?
If Acumatica already has its own AI, why add an agent?
Because they do different jobs and work side by side. Acumatica's AI Assistant answers questions for the people inside the ERP, and its document recognition reads PDF vendor invoices that arrive by email. Vantegrate's agent works where your customer is: it answers on WhatsApp, SMS or web chat with your inventory and prices, enters the order in Acumatica and logs the conversation in Salesforce. During discovery we define what each one handles, so nothing comes in twice.
Does the integration use Acumatica licenses or user seats?
Does the integration use Acumatica licenses or user seats?
Not seats: Acumatica doesn't charge per user, but by the applications you run, your transaction volume and your license type (Acumatica). What each license does set is an API limit: open sessions, concurrent requests and requests per minute, and inbound webhooks count toward it. That's why the integration closes every session, runs targeted queries and relies on push notifications instead of polling for changes.
Can the agent serve customers in Spanish?
Can the agent serve customers in Spanish?
Yes. The agent holds the conversation in Spanish or English, regardless of the language your team uses inside the ERP. Acumatica's API can read and write the value for each language in multilingual fields, so item descriptions can follow the customer's language, and Acumatica publishes its own site in Spanish as well. That matters in the US, where 56% of Hispanic adults use WhatsApp (Pew Research Center, 2025).
Can the agent reach US customers on WhatsApp and SMS?
Can the agent reach US customers on WhatsApp and SMS?
Yes, with each channel used for what it does best. WhatsApp reaches 32% of US adults (Pew Research Center, 2025), so it works well for customers who already message you there, and conversations they start aren't affected by Meta's rules. Meta does not deliver WhatsApp marketing templates to US (+1) numbers (Meta), so campaigns to US customers go by SMS. Either way, the order lands in Acumatica and the conversation in Salesforce.
