Integrate Epicor with AI agentsthat take orders against your live inventory

Vantegrate's AI agents connect to Epicor Kinetic and Epicor Prophet 21 through the APIs Epicor publishes for each ERP: they answer on WhatsApp or SMS with stock and each customer's price, enter the sales order, let the customer know when it ships and read the purchase orders that arrive as PDFs. Your data stays in your Epicor.

The short answer

What does it mean to integrate Epicor with Vantegrate's AI agents?

Integrating Epicor with Vantegrate's AI agents means that an agent, such as the sales agent that answers customers on WhatsApp or SMS, works on your live ERP: it checks stock and pricing, builds the quote and enters the sales order in Epicor Kinetic or Epicor Prophet 21. It connects through the APIs Epicor documents for each ERP, with an integration user and only the permissions your team authorizes.

Epicor already ships its own AI, Epicor Prism, with agents that work inside the ERP for the people who use it every day. The Vantegrate agent works on your customer's side: it answers on WhatsApp or SMS with Epicor data, tells the customer when the order ships and hands off to a sales rep when a person is needed. Your orders, customers and prices stay in your Epicor: the agent reads and updates them, it doesn't take them anywhere.

Hi, I want to integrate Epicor with AI agents.
What syncs

What data moves between Vantegrate and your Epicor

The agent works on Epicor business objects in real time: it reads to answer and records every order and every document where it belongs.

Stock and each customer's price

The agent reads stock by warehouse and the price that applies to each customer, and answers in the same conversation without a rep searching screen by screen.

Quotes and sales orders

When the customer confirms, the agent enters the sales order in Kinetic or Prophet 21 with the right customer, items and quantities.

Your customers' purchase orders

A purchase order that arrives as a PDF, a photo or an email is read by Arconte, which checks it against your items and prices and gets it ready as an order.

Alerts when an order changes

In Kinetic, a BPM rule or an Epicor Function notifies the agent when an order ships or its date changes, and the agent messages the customer on WhatsApp or SMS.

How it connects

How the integration works, step by step

Vantegrate sets up the connection and rolls it out in phases; your IT team authorizes access and validates with real data.

1

Discovery of your Epicor setup

We review which ERP you run, Kinetic or Prophet 21, whether it runs in the Epicor Cloud or on your own servers, which version and modules you have, and the API terms in your contract.

2

API key and integration user

In Kinetic, your team issues an API key with an access scope that limits which services and methods the agent can use. In Prophet 21, we define the integration user and its permissions with your team.

3

Business rules and alerts

We load the rules for each flow: which price list applies, which warehouse ships, when to hand off to a rep and which ERP changes trigger an alert to the customer.

4

Validation with real data

We test with real orders outside production, validate with sales, operations and IT, and roll out in phases.

One API per ERP

Kinetic and Prophet 21: where the agent connects in each Epicor ERP

Epicor Kinetic exposes its services through an Open REST API that follows the OData v4 standard. According to Epicor, anything available in the user interface is available through REST, including business objects, processes, business activity queries (BAQs) and Epicor Functions (Epicor). API keys and access scopes control which services and methods each integration can use, and ERP user and data permissions still apply.

Prophet 21, the Epicor ERP for wholesale distributors, has its own API. The Epicor brochure describes a stateless v2 P21 API, the Entity API with REST endpoints per business object, the Interactive API, which works within a Prophet 21 session, and the Data Services API, which reads the Prophet 21 database over OData; per the same brochure, the API supports REST and SOAP for more than 300 services (Prophet 21 brochure).

That matters in the US market: Enlyft has data on 1,841 companies that use Prophet 21 and finds them most often in the United States, in the wholesale industry and at companies with 50 to 200 employees (Enlyft). At that size, the same few people answer price checks, enter orders and chase deliveries, so every request the agent handles is time back for the team.

To learn about a change, Kinetic runs BPM rules before or after each transaction, and Epicor Functions can call external systems (Epicor Functions). For Prophet 21, we define it during discovery. Epicor also offers Automation Studio, its integration platform powered by Workato, with connectors for Kinetic and Prophet 21 and an on-premises agent that reaches an ERP on your servers without opening ports in the firewall (Automation Studio).

Based on Epicor documentation and the Prophet 21 brochure; which surface your project uses depends on your version, your implementation and your contract.

API licensing and terms: what each connection consumes and which modules you need depend on your contract with Epicor. We review it with your team and your Epicor contact before sizing the agent, so nothing surprises you later.

Working with Epicor AI

Epicor Prism already brings AI: what a customer-facing agent adds

Epicor builds its own AI, Epicor Prism: a network of vertical AI agents that execute work inside the ERP. According to Epicor, the Prism Knowledge Agent processes more than 70,000 requests per month from users of Kinetic, Prophet 21 and Propello, the Smart Data Capture Agent extracts and validates documents in AP and compliance workflows, and Prism Agent Foundry lets customers and partners build their own agents within the Epicor platform (Epicor). Prism Business Communications also automates supplier RFQs inside Kinetic (Epicor Prism).

The Vantegrate agent works on a different stretch: the conversation with your customer, who never logs in to your ERP. It answers on WhatsApp or SMS with Epicor stock and pricing, enters the order and lets the customer know when it ships; if your sales team runs Salesforce, the conversation is logged there. Arconte adds the purchase orders your customers send by WhatsApp or email. During discovery we define what each one handles, so nothing gets entered twice.

Epicor has also announced that it is moving toward headless ERP: API-first services so that AI agents, including Prism and the language models each customer prefers, can work inside the ERP using standards such as MCP, under Epicor governance controls (Epicor). That is another door into the same ERP: the Vantegrate integration works with the documented REST APIs and a least-privilege user.

Based on Epicor; which agents you have depends on your product and your contract.

Epicor is a third-party product: Vantegrate is not an Epicor partner: it integrates through the documented APIs, and everything that already runs in your ERP stays the same. Epicor, Kinetic, Prophet 21 and Prism are trademarks or registered trademarks of Epicor Software Corporation registered in the United States and other countries.

Cloud or your own servers

Epicor Cloud or your own servers: what changes for the integration

Epicor has announced that future innovation for Kinetic and Prophet 21 moves exclusively to the Epicor Cloud, which the company says already runs more than 20,000 businesses. On-premises versions get a final feature release and then move into support phases (Epicor). Kinetic has also moved from two releases a year to monthly updates (Epicor).

For the integration, that calls for two precautions. In the cloud, Epicor presents the API as versioned services that stay aligned with the platform (Epicor); we still retest the agent flows when the version changes. On your own servers, we decide during discovery how the agent reaches the API without exposing it more than needed, for example through the Automation Studio on-premises agent if you already use it.

  • With Kinetic or Prophet 21 in the Epicor Cloud, the agent connects to the API of your environment with the access your team authorizes.
  • With the ERP on your own servers, the connection is set up with your IT team, without opening the API to anyone else.
  • If you migrate from your servers to the cloud, the agent reconnects to the new environment and your business rules carry over.

Your data, your ERP

The integration doesn't take your data anywhere

AI comes to your data, not your data to the AI: the agent reads and updates your Epicor through the official APIs, with the permissions you authorize, and logs every operation.

  • In Kinetic, an API key with an access scope defines which services and methods the agent can use, and ERP user and data permissions still apply.
  • An integration user with least privilege, in Kinetic and in Prophet 21: it reads what it needs and creates only the documents your use case requires.
  • Your orders, customers and prices stay in your Epicor, in the Epicor Cloud or on your own servers; the agent doesn't copy your database to another system.
  • The agents run on Salesforce or Oracle Cloud Infrastructure, whose SOC 2 and ISO 27001 certifications belong to those platforms, not to Vantegrate.
Frequently asked questions

Frequently asked questions about the Epicor integration

What sales, operations and IT teams usually ask before connecting an AI agent to Epicor Kinetic or Epicor Prophet 21.

How do I integrate Epicor with an AI agent?

It depends on the ERP. In Epicor Kinetic, through the Open REST API with OData v4 and an API key whose access scope limits the services the agent uses; in Epicor Prophet 21, through the platform API, which according to Epicor supports REST and SOAP. The agent reads stock and pricing, enters orders and learns about changes. Vantegrate handles the setup and rollout; your team authorizes access. For the wider picture, see Selling on WhatsApp with your ERP.

Does it work with Prophet 21 or only with Kinetic?

With both. Prophet 21 is the Epicor ERP for wholesale distributors, in verticals such as electrical, HVAC, plumbing, fasteners and industrial supply (Epicor), and Kinetic is the Epicor ERP for discrete and make-to-order manufacturing (Epicor). On Prophet 21, the typical use case is taking orders on WhatsApp or SMS with stock and each customer's price; on Kinetic, answering delivery dates and entering the order. We review other Epicor ERPs case by case.

If Epicor already has Prism, why add an agent?

Because they work in different places and run side by side. Prism helps the people who use the ERP, processes AP documents and automates supplier RFQs. The Vantegrate agent works where your customer is: it answers on WhatsApp or SMS with your stock and prices, enters the order in Epicor and tells the customer when it ships. During discovery we define what each one handles, so nothing comes in twice.

Can the agent serve customers in Spanish?

Yes. The agent talks with each customer in Spanish or English, whichever they write in, even if your team runs the ERP in English. Epicor runs a Spanish-language site for Mexico with Kinetic and Prophet 21 pages, and publishes cases such as Sheló NABEL, a company in Jalisco that runs Kinetic in the cloud and, according to Epicor, found the Kinetic REST APIs made its integration easy (Epicor).

Can the agent reach US customers on WhatsApp and SMS?

Yes, with each channel used for what it does best. WhatsApp is used by 32% of US adults (Pew Research Center, 2025), so it works well for customers who already message you there. What WhatsApp does not do is deliver marketing templates to US numbers (Meta), so campaigns to US customers go by SMS, as covered in the SMS integration; conversations your customers start aren't affected by that limit. Either way, the order lands in Epicor.
