API key with scoped permissions
An admin on your account creates a scoped key limited to the endpoints the agent uses, such as searching and creating contacts, enriching people, opening deals and creating tasks. Apollo rejects any call outside that list, and we don't use a master key.
Stage, field and rep mapping
We define which stage each contact enters, which custom fields hold the qualification and which rep gets each lead. Anything created with an API key is attributed to the account's longest-standing admin, so the agent sets the owner of each record in the same call.
Workflows and channels
If a form on your site asks for a phone number with a consent checkbox, an Apollo workflow notifies the agent with a webhook. Then we connect the WhatsApp numbers, SMS numbers and web chat the agent answers.
Testing with real data
We test with your real contacts and conversations, measure how many credits each enrichment uses and how many calls the agent makes per day against your plan's limits, and turn flows on one at a time.

Apollo.io pairs a B2B database of more than 240 million contacts, according to the company, with the tools to work them: sequences, calls and tasks (Apollo). The agent works on the contacts, accounts and deals your team already has in Apollo, with no parallel database.
When someone writes in on WhatsApp, SMS or web chat, the agent answers right away, asks for their work email and looks them up among your contacts. If they aren't there, it calls people enrichment, which uses one credit when Apollo finds their data, and asks your team's qualification questions with the title, company and size in hand. It doesn't ask Apollo to reveal a mobile number, which costs 8 more credits: on WhatsApp and SMS it already has it from the first message.
If the lead qualifies, the agent creates or updates the contact without duplicates, opens the deal, assigns the rep and leaves a task with a summary of the conversation. If the contact was in a sequence, it marks them as finished so automated emails stop while they're talking on WhatsApp or by text.

Apollo credits: enrichment draws credits from your plan, so the agent only enriches people who left a valid email and doesn't repeat the lookup if the contact is already in your account.
Apollo.io to prospect, WhatsApp and SMS to reply: why the agent never cold-messages
Apollo is built for outreach: its sequences combine automated emails with manual tasks, such as calls and LinkedIn actions (Apollo), and its database returns mobile numbers for prospects who never wrote to you. For WhatsApp, that number isn't enough: Meta's policy only lets you contact people who gave you their number and opted in to your messages (WhatsApp).
Apollo frames it the same way for calls: its Do Not Call (DNC) screening is a compliance aid, not a consent-management system (Apollo). That's why the agent doesn't take mobile numbers from Apollo to send messages: it answers people who write first, and their opt-in arrives with the first question.
The two ends meet by inviting the conversation. An email in a sequence can carry a link to your WhatsApp, and a form on your site can ask for a phone number with a consent checkbox; either way, the contact picks the channel, and the agent answers with the Apollo data in view.

On top of that, enrichment draws credits from your plan. The integration is built around events and narrow queries; we don't promise unlimited calls.

No. Apollo MCP is Apollo's official MCP server so assistants such as Claude or ChatGPT can work in your account through the OAuth of the person who connects them. For an agent that runs on a server, with no one to approve in a browser, Apollo requires a master key that opens every endpoint; that's why Vantegrate's agent uses the API with a scoped key. The two can coexist in the same account.
