Salesforce vs HubSpot:which one fits and what the first year costs

The most searched CRM comparison, told by a partner that implements Salesforce and will tell you when HubSpot is the better fit. Instead of comparing price per seat, we build the first-year cost from list prices and compare their AI agents, integrations and WhatsApp.

The short answer

Salesforce or HubSpot?

HubSpot fits small and mid-sized companies with a simple sales process, marketing as the engine of demand and a small technical team: it is quick to adopt and cheaper in the first year. Salesforce fits when the process is complex (several teams, territories, approvals and rule-based quotes), when the CRM has to integrate with the ERP and grow with the company, and when you want AI agents working across all your data. Many US companies run both: HubSpot for marketing and Salesforce for sales, synced.

Price per seat is misleading. Total cost adds licenses, implementation (HubSpot charges required onboarding on its Professional and Enterprise plans; on Salesforce, the partner quotes it), administration, integrations and AI usage, which both charge for separately with credits. HubSpot often shows its Starter plan with a promotional discount for new customers; the list price is $20 per seat. Below we break it down with each vendor's list prices.

Criteria

  • First-year cost: list-price licenses, implementation, administration and integrations.
  • Fit with the sales process: complexity, number of teams and business rules.
  • AI agents: what they do, which data they work on and how they are priced.
  • Integration with the ERP and messaging channels such as WhatsApp.

Sources: Salesforce's and HubSpot's pricing pages, documentation and earnings releases, plus market data from IDC and Ramp. What each vendor says about the other is attributed.

The options

Salesforce, HubSpot, or both

Each platform was built for a different buyer. This is a neutral read of what each one is, what it costs at list price and when it fits.

Salesforce

Enterprise CRM · mid-sized and large companies

The CRM with the largest market share according to IDC: Sales Cloud and Service Cloud, with Agentforce for AI agents, Data 360 to unify data and an ecosystem of thousands of apps. List editions run from $25 per user per month (Starter Suite) to $550 (Max), with Pro Suite at $100 and Core at $195.

When it fits: companies with complex sales processes, several teams and an ERP to integrate, that want a CRM that grows with them.

HubSpot

Customer platform · small and growing companies

A platform that brings marketing, sales and service together on one contact database, known for being easy to adopt. Sales Hub has a free plan for up to 2 users and list plans at $20 (Starter), $100 (Professional) and $150 (Enterprise) per seat per month; Professional and Enterprise add required onboarding of $1,500 and $3,500, and need Sales Seats for full functionality, while view-only seats are free. Its AI agents live in Agent Hub, formerly Breeze.

When it fits: small and mid-sized companies where marketing generates demand, with a simple sales process and a small technical team.

HubSpot and Salesforce together

Integration pattern · marketing in HubSpot, sales in Salesforce

HubSpot as the marketing platform and Salesforce as the sales CRM, connected with HubSpot's two-way Salesforce sync, which HubSpot includes in its Professional and Enterprise plans. Leads and campaign data flow to Salesforce, and the sales team works there.

When it fits: companies whose marketing team already runs on HubSpot and whose sales process outgrew it, without forcing a migration of both teams at once.

The descriptions come from each company's public information and aim to be neutral; the order is not a ranking. US list prices before taxes; HubSpot offers time-limited discounts to new customers that are not included here. Vantegrate is a Salesforce partner. This page uses no affiliate links.

How to choose

Six questions to decide

There is no better CRM in the abstract. These six questions tell you which one fits your company, and what it will really cost.

1

Who generates your demand?

If the engine is inbound marketing (content, forms, lead nurturing), HubSpot was born for that. If the sale is consultative, with field teams, territories, distributors and complex quotes, Salesforce has more room to grow.

2

How complex is your process?

Rule-based quotes, approvals, several business units and fine-grained permissions by team are Salesforce's ground. For a simple process, HubSpot does the job with less configuration.

3

What does the first year really cost?

Multiply licenses by users by 12 and add onboarding or implementation, administration, AI credits and messaging channels. A cheap CRM nobody runs ends up expensive; so does a powerful one nobody uses.

4

What will the AI agents do?

Agentforce and HubSpot's agents work on their own CRM's data and are priced separately, with different units: Salesforce counts every conversation or every action, HubSpot counts the conversations its agent resolves. Compare them with your own volumes.

5

Can you split the work?

If marketing already runs well on HubSpot, you do not have to move it: Salesforce for sales and HubSpot for marketing, synced, is a common setup. Migrate everything only when one platform clearly serves both teams better.

6

Who will run it day to day?

Salesforce usually needs an administrator, in-house or through a partner, to keep rules, permissions and integrations in shape as the company grows. HubSpot is built so that business users can configure most of it. Count that person, or the partner's hours, in the first-year cost.

When HubSpot is the better fit, from a Salesforce partner: when your team is small, marketing generates the demand, the sales process is simple and nobody would run a more complex CRM. If the process grows, moving from HubSpot to Salesforce is a well-known project. For the rest, let's talk about Salesforce.

What the numbers say

Market and vendor figures, each with its source. None of them is a Vantegrate result.

75%

Caveats: Ramp's figure comes from US businesses that use its cards, skewed toward tech companies, and adds up to more than 100% because a business can buy more than one CRM. IDC's market share is published by Salesforce.

Frequently asked questions

Frequently asked questions about Salesforce and HubSpot

What sales and IT teams ask before choosing a CRM or replacing the one they have.

Salesforce or HubSpot: which one is better?

It depends on your company. HubSpot does best in small and mid-sized businesses with a simple sales process and marketing as the engine; Salesforce, in companies with complex processes, several teams and an ERP to integrate. Many companies use both: HubSpot for marketing and Salesforce for sales, connected with HubSpot's Salesforce sync.

How much does it cost to implement Salesforce or HubSpot?

For 10 users, first-year licenses at list price are $12,000 on Salesforce Pro Suite or $23,400 on Core, against $12,000 on HubSpot Sales Hub Professional plus $1,500 of required onboarding. On Salesforce, the partner quotes the implementation based on scope. On top of that come administration, integrations and AI usage, which both charge for separately.

Agentforce or HubSpot's AI agents?

Both work on their own CRM's data. Agentforce costs $2 per conversation or $0.10 per action with credits, or a per-user add-on for employees (details in Agentforce pricing). HubSpot's agents, in Agent Hub (formerly Breeze), use credits: the Customer Agent costs $0.50 per resolved conversation and needs a Professional or Enterprise plan; HubSpot says it resolves more than 65% of conversations. The choice usually follows the CRM.

Do Salesforce and HubSpot require annual contracts?

For the plans a sales team uses, mostly yes. Salesforce says most of its products use annual contracts: Starter Suite can be billed monthly or annually, while Pro Suite and the Core, Advanced and Max editions are billed annually. On HubSpot, Sales Hub Starter can be paid monthly, and Professional and Enterprise are annual commitments; Professional can be paid monthly within that commitment. Check the terms in your quote before signing.

How do HubSpot credits compare with Salesforce's Flex Credits?

Both meter AI usage with credits, in different units. HubSpot includes a monthly allowance with each hub (500 credits on Sales Hub Starter, 3,000 on Professional and 5,000 on Enterprise), sells extra credits at $10 per 1,000 and resets them every month, without rollover. Salesforce sells Flex Credits at $500 per 100,000, a standard agent action uses 20 of them ($0.10), and the Core, Advanced and Max editions include a yearly allowance per org. Compare them with your expected volume, not with the unit price.

Can HubSpot and Salesforce run together?

Yes, and it is a common setup. HubSpot includes a two-way Salesforce sync in its Professional and Enterprise plans, so marketing keeps working in HubSpot while sales works in Salesforce. What makes it work is deciding which system owns each field, mapping HubSpot's lifecycle stages to Salesforce's leads and opportunities, and keeping one source of truth for every record.

When is HubSpot a better fit than Salesforce?

When the team is small, the sales process is simple, marketing generates the demand and nobody would run a more complex CRM. HubSpot has a free plan for up to 2 users and is quick to adopt. If the process grows more complex, moving to Salesforce is a well-known path, and we say so as a Salesforce partner.

What does each vendor say about the other?

Salesforce publishes that customers who switched from HubSpot went live in 17 days on average, based on its metrics from 202 small businesses. HubSpot publishes that 71% of 232 customers who switched from Salesforce report a lower total cost, based on its own survey. They are each vendor's measurements of its own customers: useful as a reference, not as proof.

Can you sell on WhatsApp with Salesforce or HubSpot?

Yes, with conditions. On HubSpot, WhatsApp connects through Marketing Hub or Service Hub Professional or Enterprise, with 1,000 template messages a month included. On Salesforce, Service Cloud's enhanced messaging adds WhatsApp. If you also want an agent that quotes and takes orders with ERP data, that is what Sellium does, inside Salesforce.
