Integrate Zapier with AI agentsthat log each deal and pass it to your apps
When a Vantegrate AI agent closes a deal on WhatsApp, SMS or web chat, it logs it in your Salesforce org through the official API and hands the event to a Zap through a webhook. Zapier, which connects 9,000+ apps, carries it to the rest of your team's tools, while your business record stays in your systems.
How the data flows
What does it mean to integrate Zapier with Vantegrate's AI agents?
Integrating Zapier with Vantegrate's AI agents means the agent hands each business event (a deal closed in a conversation, a validated document, a confirmed delivery) to a Zapier webhook, and a Zap carries it to the apps that have no direct connection. Core systems such as Salesforce or your ERP are read and written by the agent through their official APIs.
It works the other way too: a Zap can tell the agent that a form came in or that an order arrived from a store with no connector. What Zapier doesn't do is hold the conversation: answering, qualifying and quoting is the agent's job. Zapier moves information between apps; it doesn't replace your CRM.

What moves between the agents and your Zaps
The agent and Zapier talk through webhooks, in real time, and anything that belongs in Salesforce or your ERP stays on its API.
Agent events into your Zaps
When the agent closes an order or a quote, or books a meeting, it posts the event to the URL of a Catch Hook trigger from Webhooks by Zapier, which starts the Zap instantly.
Zaps that call the agent
With the POST action in Webhooks by Zapier, a Zap passes the agent a form submission, an order from an app with no connector or a vendor's file, with credentials in the header.
Core data stays on the native API
Customers, prices, inventory and opportunities never run through Zapier: the agent reads and writes them live in Salesforce or your ERP, through the API.
How the integration works, step by step
Vantegrate handles the setup and rollout. Your team authorizes, validates and starts using it.
Zaps owned by the company account
The Zaps with a Catch Hook trigger are built in your company's Zapier account, on a paid plan (webhooks aren't on the free plan), never in one person's account: the webhook URL changes if the Zap changes owner.
Least-privilege connections
Each app in the Zap connects through a service account with only the permissions it needs; from the Team plan up, connections are shared without passing passwords around. The agent's URL requires credentials.
Events and business rules
We define which events each agent hands off, with which fields and under which rules. Nothing a customer is waiting on depends on a Zap.
Testing with real data
We test each Zap with real events, estimate its monthly task usage, set retries with exponential backoff and turn flows on one at a time.
Zapier for the long tail, the native API for your core systems
Companies run on dozens of apps. In Zapier's directory, sorted by popularity, Gmail ranks #2, Google Calendar #4, Google Drive #5, Microsoft Outlook #13 and Salesforce #19 (Zapier). Connecting an agent to each of them through its own API would be one project per app: Zapier already connects 9,000+.
Your core systems are a different matter. To quote, the agent needs this minute's price and inventory, and to log a deal it has to respect your org's object and field permissions. That's why accounts, opportunities and orders go through the official API of Salesforce or your ERP, live, not through a chain of steps that Zapier bills by the task.
| Dimension | Native API of the core system | Zapier with a webhook |
|---|---|---|
| What it connects | Salesforce, your CRM or your ERP | 9,000+ apps |
| What it moves | Customers, prices, inventory and orders | Copies of events: a row, a task, an alert |
| How it connects | Official API with service credentials | Catch Hook to receive and POST to call |
| Timing | Live reads and writes | Instant; during spikes, Zapier may delay processing by minutes |
| Cost in Zapier | Uses no tasks | One task per completed action |
Comparison of integration patterns; the split between native APIs and Zaps is defined with your team based on your systems.
Zapier carries, it doesn't replace: if a long-tail app fails, the deal is already logged in Salesforce.
WhatsApp on Zapier: sending a message is not holding a conversation
Zapier's directory includes, among others, the WhatsApp Business and WhatsApp Notifications apps. The first sends messages from your company's number and requires, according to Zapier's help center, your own WhatsApp Business Account in Meta Business Manager, a paid plan and opt-in from every recipient. The second sends alerts to your own phone.
Meta's rules still apply: free-form text only goes out within the 24-hour window, and outside it only an approved template. And according to the same help article, the Zap run shows as successful even if the send fails.
A Zap can send a message, but it doesn't remember the thread, qualify, quote or know when to hand the customer to a rep. That's why Sellium handles the conversation on WhatsApp, SMS or web chat, and Zapier receives what comes out of it.
Zapier in US sales stacks: what the spend data shows
In Ramp's spend data, Zapier is the most adopted vendor in the Sales Execution & Orchestration category, and the lead holds across company sizes: 88% of mid-market buyers and 87% of enterprise buyers in that category use it. It is also the vendor companies switch to most often (Ramp). The Zaps your sales team already runs are the natural place for the agent's events.
The channel mix differs from Latin America. WhatsApp reaches 32% of US adults and 56% of Hispanic adults (Pew Research Center, 2025), and Meta does not deliver WhatsApp marketing templates to US (+1) numbers (Meta). A Zap that sends one to a +1 number fails quietly. Conversations your customers start aren't affected; campaigns to US customers go out by SMS.
Governance is the other US question. In Okta's Businesses at Work report, 78% of organizations say controlling the access of non-human identities is a top concern, and only 10% have a strategy for it (Okta). An agent handing events to Zaps is one of those identities, so the Zaps live in the company account, with service accounts and a history of every run.
What changes for the agent: nothing in the logic. What changes is the channel for campaigns to +1 numbers: SMS, with the A2P 10DLC registration US carriers require for local numbers, covered in the Twilio integration.

An agent connected to your Zapier vs. a standalone tool
| Standalone AI tool | Agent connected to your Zapier | |
|---|---|---|
| Data source | A copy that drifts | Your CRM or ERP, read live through its API |
| Where your data lives | In a third-party system | In your systems; Zapier carries the event |
| Result of each operation | Stuck in another app | Logged in your CRM and copied by a Zap to your other apps |
| Permissions and audit | Broad and hard to audit | Service account, least privilege and each Zap's history |
| Reaching production | Often stalls as a pilot | Validated, phased rollout |
Why put Zapier behind an AI agent
Third-party figures, each with its published source. None of them is a Vantegrate result.
90%
Of the companies that buy sales execution and orchestration software through Ramp use Zapier
58%
Of the leaders Okta surveyed name AI governance and identity as their top concern
95%
Of generative AI pilots never reach production with measurable impact
Ramp's figures reflect its own customer base, more than 70,000 US businesses that lean toward venture-backed tech firms, so read them as relative adoption within the category, not national market share. Zapier reports its own app count, which changes often.
Which agents work with your Zapier
Every agent hands off or receives events through webhooks and keeps the business record in your systems through their APIs.
Sellium
Sales agent: answers on WhatsApp, SMS or web chat, quotes from your real catalog and collects payment in the chat; when a deal closes, it logs it in Salesforce and hands the event to a Zap for your other apps.
Explore SelliumRevio
Marketing and win-back agent: takes events from apps without a native integration through a Zap, such as a purchase or a signup, and starts the campaign only when the contact's opt-in is on record.
Explore RevioArconte
Document agent: receives from a Zap the invoices that land in apps without a direct connection, such as a vendor form, validates them like the ones from email and loads them into your ERP.
Explore ArconteMetrix
Data agent: reads your sources with a read-only user, without Zapier. If a figure lives in an app with no API or SQL view, a Zap can copy it into a spreadsheet Metrix already queries.
Explore MetrixTrazzo
Last-mile delivery agent: receives orders from a store without a connector through a Zap and, once the delivery is confirmed with its proof, notifies a Zap by webhook that updates that app.
Explore TrazzoZapier moves the event, and the record stays in your systems
AI comes to your data, not your data to the AI: the agent writes the record through the official API of Salesforce or your ERP and passes Zapier only the event your other apps need.
- Connection through Webhooks by Zapier: the agent hands each event to a Catch Hook trigger, and a Zap calls the agent with a POST that carries credentials.
- Least privilege: Zaps in the company account, a service account per app and only the fields each flow needs.
- The business record stays in your systems, and every run is kept in the Zap's history. Zapier publishes SOC 2 Type II and SOC 3 reports on its platform in its trust center.
- The agents run on Salesforce or Oracle Cloud Infrastructure, whose SOC 2 and ISO 27001 certifications belong to those platforms, not to Vantegrate or Zapier.
Frequently asked questions about the Zapier integration
What operations, sales and IT teams usually ask before connecting an AI agent to their Zaps.
How do I integrate Zapier with an AI agent?
How do I integrate Zapier with an AI agent?
With Webhooks by Zapier, in both directions. The agent posts each event to the URL of a Zap with a Catch Hook trigger, which starts instantly, and a Zap calls the agent with the POST action, with credentials in the header. Webhooks are on the Professional, Team and Enterprise plans, not the free one. Core systems stay on their own APIs, as in the Salesforce integration.
Can Zapier handle WhatsApp on its own?
Can Zapier handle WhatsApp on its own?
It can send messages, not hold a conversation. Zapier's WhatsApp Business app sends free-form text within the 24-hour window and approved templates outside it, using your own WhatsApp Business Account and each recipient's opt-in. Remembering the thread, qualifying, quoting and handing off to a rep is the job of Sellium; the full channel is covered in the WhatsApp integration.
What about Zapier MCP and Zapier Agents?
What about Zapier MCP and Zapier Agents?
They're Zapier products built for a different job. Zapier MCP is an MCP server, included in every Zapier plan, that connects assistants such as Claude, ChatGPT or Cursor to Zapier's apps: it authenticates through OAuth from the assistant and every successful tool call uses two tasks. Zapier recommends one server and token per user, because it's built for one person. Zapier Agents builds general-purpose agents. An AI agent working for the company uses Zaps in the company account, and the two coexist.
How much does Zapier cost with the agents?
How much does Zapier cost with the agents?
Zapier bills one task for each action a Zap completes successfully; triggers and filters use none. Its plans are Free, Professional, Team and Enterprise, and webhooks start on Professional. At the task limit, Zapier either bills the extra tasks or pauses your Zaps, depending on your account settings. Vantegrate charges separately for the implementation and the agents (pricing), and each Zap is designed to use only the tasks it needs.
Can a Zap send WhatsApp marketing messages to US customers?
Can a Zap send WhatsApp marketing messages to US customers?
Not to +1 numbers. Meta does not deliver WhatsApp marketing templates to US phone numbers, and Zapier notes that a WhatsApp Business Zap run can show as successful even when the send fails, so the Zap history won't tell you. Conversations your customers start aren't affected. For campaigns to US customers, Revio uses SMS, and a Zap can still feed it consented contacts from your other apps.
