Integrate Microsoft Teams with AI agentswithout pulling your team out of Teams

Vantegrate's AI agents join Microsoft Teams as your own bot, registered in Microsoft Entra ID and approved by your admin. They post alerts with context to a channel or chat (a lead asking for a rep, a deal stuck in Salesforce, an invoice that doesn't match its purchase order) and answer business questions with the permissions of the person asking. Your data stays in your systems.

The short answer

What does it mean to integrate Microsoft Teams with Vantegrate's AI agents?

Integrating Microsoft Teams with Vantegrate's AI agents means adding your own bot to your organization, registered in Microsoft Entra ID and Azure AI Bot Service and approved by your admin. The bot posts alerts with context to the channel or chat you choose, with buttons to decide, and answers business questions using each person's permissions, without moving your data into Teams.

It isn't an app that slips in unchecked either: your admin decides who can use it and can block it, and the bot only receives messages where it's @mentioned. Conversations with your customers stay on WhatsApp, SMS or web chat, and your records stay in Salesforce; Teams gets what a person needs to decide.

Hi, I want to integrate Microsoft Teams with AI agents.
What syncs

What moves between the agents and your Microsoft Teams

The bot works only in the teams and chats where it's installed: it posts, asks and answers, and your business data stays where it lives.

Proactive alerts with context

The agent reaches out first when something needs action: a lead asking for a rep, an opportunity stuck in a stage or an invoice that doesn't match its purchase order, with a summary and a link to the record.

Cards with buttons to decide

The alert arrives as an Adaptive Card with buttons to take the case or approve a step. When someone responds, the card updates and shows who decided.

Questions in chat, with permissions

Ask in a chat with the bot, or @mention it in a channel, and Metrix answers with the figure and its source, based on the permissions tied to your Microsoft Entra ID identity.

How it connects

How the integration works, step by step

Vantegrate handles the setup. Your admin approves and your team validates.

1

A bot registered in your organization

We create the resource in Azure AI Bot Service with a Microsoft Entra ID identity that belongs to your organization and build the Teams app package, with no personal accounts involved.

2

Admin approval

Your admin uploads or approves the app in the Teams admin center and decides who can use it. Permissions are granted per team or per chat.

3

Alert rules and destinations

We define what triggers each alert, which channel it lands in, which buttons the card carries and what data each role can query.

4

Pilot and phased rollout

We test in a pilot team with real data, within Teams' messaging limits, and add channels gradually.

Customers outside, team inside

Microsoft Teams and WhatsApp: customers in their channel, your team in yours

A search that keeps coming up is how to integrate Microsoft Teams with WhatsApp. There are two ways to do it: a mirror that copies every message from the customer into a channel, where someone answers them one by one, or an AI agent that handles the conversation and brings to Teams only what needs a person.

With Sellium, the sales agent, the conversation stays where the customer started it: WhatsApp, SMS or web chat. The agent answers, qualifies and quotes, logs the lead or opportunity in Salesforce, and when the lead asks for a rep it alerts Teams with a summary and a link to the record. The rep picks up with full context, as described in AI agent to human handoff.

Teams also carries more weight as companies grow. Among the US businesses that buy communication tools through Ramp, 24% of enterprises use Teams versus 10% of small businesses, and Teams is the fastest-growing vendor in the category (Ramp). If your company runs on Microsoft 365, Teams is where your reps, managers and finance team already work, so that's where the alert belongs.

Comparison of integration patterns; channels, alert rules and permissions are defined with your team.

The customer conversation doesn't move into Teams: the agent handles it in the channel the customer chose and logs the outcome in your CRM; Teams gets the alert and the link.

Its own bot, scoped permissions

How an agent joins Microsoft Teams without access to your whole organization

To post in Teams, the agent needs an identity of its own: a bot in Azure AI Bot Service with a Microsoft Entra ID identity, published as an app your admin approves and assigns to everyone, to specific groups or to no one.

Permissions are requested through resource-specific consent (RSC), which applies to one team or one chat. By default the bot only receives messages where it's @mentioned; reading a whole channel requires a separate RSC permission that the team owner accepts at install time, and we request it only when the use case needs it.

Alerts are proactive messages, which Teams allows only where the app is installed, within limits of seven messages per second per conversation and 50 requests per second per app (Microsoft Learn). On a 429 the agent retries with an increasing wait, and if someone blocks the bot, Teams returns a 403 and the agent stops messaging that person.

A bot is a non-human identity, which is where governance tends to lag: 78% of organizations cite controlling non-human identity access and permissions as a top concern, and only 10% have a strategy for governing them (Okta). Admin approval, per-team consent and a log of every action keep the agent inside your governance strategy.

Microsoft also publishes official MCP servers, including one with Teams tools hosted in Agent 365, which Copilot Studio documents as a preview kept for backward compatibility. For new projects Microsoft points to Work IQ, whose access is delegated: every action runs on behalf of a person and sees what that person can see.

MCP and company-wide agents: a server with delegated permissions is built for each employee's assistant. An agent that posts alerts on the company's behalf works with its own identity and scoped permissions, so we evaluate MCP case by case.

Key figures

What the data says about Teams and agents

Third-party figures, each with its source; none of them is a Vantegrate result.

24%

Of the enterprises that buy communication tools through Ramp use Microsoft Teams, versus 10% of small businesses

Source: Ramp, communication vendor data (2026)

7/sec

Messages per second a single bot can send to one Teams conversation; past that, the API returns a 429

78%

Of organizations cite controlling non-human identity access and permissions as a top concern; only 10% have a strategy

Ramp's figures reflect companies in its own customer base, which leans toward venture-backed tech firms, so read them as relative adoption, not market share; a company that gets Teams inside its Microsoft 365 license may not show up as a Teams buyer. Microsoft notes that its messaging limits can change.

Your data, your organization

A bot with scoped permissions, not access to all of Teams

Your admin decides where the bot goes and who uses it. The bot posts and answers only where it's installed, and your business data stays in your systems.

  • A bot registered in Microsoft Entra ID and Azure AI Bot Service, with its own identity; your Teams admin approves the app.
  • Per-team or per-chat permissions (RSC): the bot receives only @mentions unless the team owner accepts a broader permission.
  • Teams gets the alert or the answer; your information stays in your systems, and every action the agent takes is logged.
  • The agents run on Salesforce or Oracle Cloud Infrastructure, whose SOC 2 and ISO 27001 certifications belong to those platforms, not to Vantegrate or Microsoft Teams.
Frequently asked questions

Frequently asked questions about the Microsoft Teams integration

The questions that come up most when IT and sales leaders evaluate adding an agent to Teams.

How do I integrate Microsoft Teams with an AI agent?

With a bot of your own: we register it in Azure AI Bot Service with a Microsoft Entra ID identity that belongs to your organization and publish it as a Teams app, which your admin approves. Once it's installed in a team or chat, the agent posts alerts as Adaptive Cards and answers when someone @mentions it. Vantegrate handles the setup, and your team defines channels and rules. The data questions are answered by Metrix, the data agent.

Can I integrate WhatsApp with Microsoft Teams?

Yes, with a clear split: WhatsApp is the customer's channel and Teams is your team's. Sellium handles the conversation on WhatsApp, qualifies and quotes, and when a person is needed it alerts Teams with the case summarized and a link to the opportunity in Salesforce. The rep continues the conversation with full context, without copying messages into a channel. The same applies to SMS and web chat.

Can the bot read every chat and channel in the company?

No. By default, a Teams bot only receives messages where it's @mentioned, and only in the teams and chats where it's installed. Reading a whole channel requires an RSC permission that the team owner accepts, and we request it only when the use case needs it. Your admin can block the app at any time. More detail on our security page.

Does the Teams bot cost anything per message?

Not on Microsoft's side: Teams is one of the standard channels of Azure AI Bot Service, which Azure's pricing page lists with no per-message charge, and the bot doesn't require Copilot licenses. Vantegrate prices the implementation and the agents separately, and WhatsApp messages follow Meta's pricing, explained in WhatsApp Business API cost.

What about customers who text instead of using WhatsApp?

That's common in the US: 32% of US adults use WhatsApp, rising to 56% among Hispanic adults (Pew Research Center, 2025), so many customers will text you instead. Sellium answers over SMS and web chat too, logs each conversation in Salesforce, and the alert your team sees in Teams is the same whatever channel the customer used. The details are in the SMS integration.
