What moves between Vantegrate and your ServiceNow instance
The agent works on ServiceNow records in real time: it reads cases, accounts and contacts to answer with context, and logs every conversation on the case.
Cases, accounts and contacts
Through the Customer Service Management Case API, the agent creates and updates cases with their priority and fields, and reads the account, contact and case activity before it replies.
Customer comments and team notes
What the customer should see goes in as a customer-visible comment; the summary for your team goes in as a private work note, so whoever picks up the case doesn't ask everything again.
Case attachments
The photo, invoice or claim a customer sends on WhatsApp is attached to the case through the Attachment API, where your team and Arconte can find it.
Alerts when a case changes
An async business rule calls the agent when a case changes status, and the agent lets the customer know by WhatsApp or SMS without anyone typing it.
How the integration works, step by step
Vantegrate sets up the connection and turns it on in phases; your team authorizes the roles and validates.
OAuth client and integration user
We register the OAuth 2.0 client in your instance, with client credentials or a JWT, plus an integration user your team can review in the Machine Identity Console, the ServiceNow console for service accounts.
Least-privilege roles and scope
The user gets only the roles your use case needs, such as the one the Case API requires, and the token is limited with scopes to the APIs it calls. If your team asks, we add an hourly request limit.
Events and handoff rules
We set up the business rules that notify the agent and decide which cases it handles, on which WhatsApp or SMS number, when it hands off and to which assignment group.
Validation outside production
We test first on a non-production instance, validate with your service and IT teams, and roll out in phases.
Two ways to add the agent to WhatsApp in ServiceNow
ServiceNow offers WhatsApp for Customer Service Management two ways: directly through the Meta WhatsApp Cloud API, or through Twilio, which ServiceNow describes as more limited (ServiceNow). Conversations are handled by Virtual Agent or by a person in the CRM Workspace, routed with Advanced Work Assignment, and the app is installed from the ServiceNow Store with valid entitlements.
If your number already lives in ServiceNow, that channel stays as it is and the agent joins where it adds value: alerts and follow-ups from its own number, lookups in your other systems, or cases that start outside ServiceNow. During discovery we decide which number handles each conversation, so no customer gets two replies.
If your WhatsApp isn't in ServiceNow yet, the agent answers from its own number and logs each conversation as a case through the Case API, with the history attached. To pass the chat to a person without switching apps, ServiceNow documents the Virtual Agent API, which connects third-party chat interfaces or bots to Virtual Agent and Agent Chat (ServiceNow) and requires a Pro or Enterprise license, like Virtual Agent (licensing). Without it, the case goes to the right assignment group.

Channel rules don't change: messaging a customer first, outside the 24-hour window, takes a Meta-approved template, whether it goes from ServiceNow or from the agent's number. Template categories and costs are on the WhatsApp integration page.
What the ServiceNow API exposes: cases, tables, attachments and events
The Table API lets an integration create, read, update and delete records in your instance tables, and the calling user only sees what its roles allow (Table API). For Customer Service Management there is also the Case API, which creates, retrieves and updates cases and returns their activity stream; full access requires the csm_ws_integration role (Case API). If you use Field Service Management, a work order created from a case carries its account and contact, so the agent can look it up and tell the customer how the visit is going (ServiceNow).
The connection uses OAuth 2.0: ServiceNow offers the client credentials grant for system-to-system integrations with no user involved, plus the JWT bearer grant, and lets you limit each token to specific APIs with scopes (OAuth in ServiceNow). Volume is governed by hourly rate limit rules your team creates for a user, a role or everyone; a request over the limit gets a 429 with a Retry-After header (API rate limits).
For the agent to hear about a change, an async business rule runs after the case is saved and calls it with an outbound REST message (business rules, RESTMessageV2). The Workflow Studio REST step is another route, but it requires an Integration Hub subscription (ServiceNow). Attachments travel through the Attachment API, which respects the maximum size and file types set in your instance (Attachment API).

About API limits: your team sets request limits with hourly rules for a user, a role or everyone, and a new rule can take up to 30 seconds to take effect. We size the agent's volume against those rules before going live.
How the agent works alongside ServiceNow Otto, Virtual Agent and the ServiceNow MCP server
ServiceNow has its own AI. ServiceNow Otto combines Now Assist, Moveworks and AI Experience in one experience, according to ServiceNow results; in Customer Service Management it summarizes cases and chats and drafts resolution notes, and its collection of AI agents triages cases, extracts data and verifies documents (ServiceNow).
Vantegrate's agent doesn't replace it: it covers the stretch that needs data from your other systems, like the order in your ERP or the account in your CRM, and the sale that continues on WhatsApp. Documents work the same way: Arconte checks the invoice or purchase order against your ERP. During discovery we decide what each one handles and reviews.
ServiceNow also publishes MCP Server Console, which opens instance functions to external MCP clients with OAuth 2.0, and AI Agent Studio can add third-party MCP servers as tools for its agents; access depends on your license (ServiceNow). It is another door into the same instance: the Vantegrate integration works through the REST APIs and a least-privilege user.

ServiceNow is a third-party product: Vantegrate is not a ServiceNow partner: it integrates through the public APIs, and everything already working in your instance, including your Virtual Agent topics and assignment rules, stays as it is.
Case updates for US customers: WhatsApp templates and SMS
WhatsApp is used by 32% of US adults (Pew Research Center), so SMS is often the channel that reaches a US customer. ServiceNow covers it with its own Store apps: Conversational SMS Integration with Twilio, for Virtual Agent and live agent conversations by text (ServiceNow), and an SMS app built on AWS End User Messaging (ServiceNow). The agent can follow up by SMS from its own number when that number lives outside ServiceNow.
On WhatsApp, Meta doesn't deliver marketing templates to US phone numbers (Meta). A case update is a utility message, the category for following up on a user's own request, but a template that mixes the update with a promotion counts as marketing (Meta). So case alerts to US numbers stay strictly about the case, and offers go by SMS with consent.
