Insurance CRM:what your policy system already does and what an AI agent on WhatsApp adds

For carriers, brokers and agencies with a steady volume of inquiries. The policy system rates and issues, the CRM organizes the book of business and the producer advises. What gets lost is the inquiry that arrives after hours and nobody picks back up. We do not sell a core system or a CRM: Sellium works on top of the ones you already use.

The short answer

What CRM does an insurance broker or carrier need?

It depends on where you sit in the chain. The carrier works on a policy administration system that rates, issues policies and settles claims, and usually adds a CRM to manage its relationship with brokers and policyholders. Brokers and producers (licensed insurance agents) use an agency management system or a general-purpose CRM to track clients, expiration dates and renewals. An AI agent does not replace any of them: it handles WhatsApp and records each case where it belongs.

Quoting the premium on WhatsApp with your rating engine is already covered in Sellium for Financial Services. This page lays out the systems behind an insurance operation and the role of each one: the AI agent's, the producer's and the core system's.

The systems map

Which system each insurance player uses

An insurance operation spreads its data across systems that almost never come from the same vendor. To serve people well, the agent needs to know where each piece lives: coverage in the policy system, the expiration date in the book of business and the follow-up in the CRM.

An agent for each step

What each agent handles, and with which system

The quoting details are in Sellium for Financial Services. Here is what each agent does and which system it touches.

1

Pre-qualifies the inquiry

Sellium asks what the person wants to insure, collects the risk details and the documents, and replies at any hour.

Rating engine and CRM

2

Hands off to the producer with the case ready

The producer gets the lead with the quote, the documents and the conversation, ready to give advice.

Writes to the CRM

3

Reads policies and claims

Arconte extracts the data from policies, loss notices and adjuster reports, and checks it against the policy in force.

4

Sends the renewal reminder

Revio sends the reminder before the policy expires, with the policyholder's opt-in and templates approved by Meta.

What Vantegrate does and does not do

What it does

  • Handles the carrier's or broker's WhatsApp at any hour, with your coverages and your rules
  • Pre-qualifies, collects data and documents and hands off to the producer
  • Records every conversation in the CRM you already use
  • Sends renewal reminders to people who gave their consent
  • Works within your regulator's rules and data protection rules, with a log of every interaction

What it does not do

  • It does not sell a policy system or a CRM: it works on top of the ones you already use
  • It does not issue policies or settle claims
  • It does not give advice in place of the licensed producer
  • It does not send messages without the policyholder's opt-in

When it is not a fit: an independent producer with a small book of business needs to organize their clients in a CRM before an AI agent. The AI agent pays off when there is a steady volume of inquiries and a system where each case can be recorded.

Published integrations

What it connects to, page by page

Each chip takes you to its integration page. Guidewire, Duck Creek and Sapiens do not have their own page: the connection with the policy system is defined during discovery, before we quote.

Key data

Why an insurance inquiry cannot wait until Monday

Nearly 7 times

More likely to qualify a lead if you reach out within the first hour than if you reach out an hour later (1.25 million leads from 42 companies, U.S.)

A public U.S. benchmark, not a Vantegrate result. We did not find a verifiable public study on insurance inquiries in Latin America. Each implementation is measured against an agreed baseline.

Frequently asked questions

What carriers and brokers ask

Does Vantegrate sell an insurance CRM?

No. Vantegrate sells AI agents that work on top of your systems: the policy system, the agency management system and the CRM. If you already have a CRM, the agent records every inquiry and every handoff there. If you do not have one yet, it makes sense to choose one first.

Which CRMs does it connect to?

The ones with a published integration page: Salesforce, Microsoft Dynamics, HubSpot, Zoho CRM and Pipedrive. Each page details what the agent reads and what it writes. With any other system, the connection is reviewed during discovery.

Does the AI agent replace the insurance producer?

No. The AI agent handles the first inquiry, collects the data and the documents and hands off. Advice, coverage recommendations and closing stay with the licensed producer, who gets the complete case and frees up time for the work only they can do.

Can it send renewal reminders on WhatsApp?

Yes, with Revio and with the policyholder's consent: the reminder goes out before the policy expires with a template approved by Meta, and the reply is recorded. Without opt-in, nothing is sent.

How much does it cost?

Sellium is priced in two parts: an initial implementation quoted for each company and a monthly subscription with AI credits that scale up, with no lock-in. You pay for WhatsApp messages directly to Meta, on your own account. To get a number for your case, request a quote.
