How do you send order status updates on WhatsApp?

Order status updates go out on WhatsApp as utility templates approved by Meta, triggered automatically at each stage of the delivery: when it is scheduled, when it goes out for delivery, when it is about to arrive and when it is delivered or could not be delivered. The messages come from a system connected to the route, through the official WhatsApp Business API, not from a phone sitting in the warehouse.

The updates

An order's updates, stage by stage

Each update goes out at a specific moment of the delivery, is triggered by a route event and has a message type that determines how it is billed. It is a proactive notification: it reaches the customer before they ask. These are the updates for a typical delivery, with a sample text:

Rescheduling the delivery in the same chat

The most useful update is the one the customer can reply to. If they won't be there, they reply in the same chat and pick another day without calling anyone. Trazzo puts the stop back into the route for the right day, respecting the time window they chose, and the rest of the route sheet is recalculated.

The same thing happens when the driver finds nobody there: the failed delivery message already includes the option to reschedule, so the second visit is agreed before the truck gets back to the warehouse. What each second trip costs is measured with the failed delivery rate.

  • Confirm the window: the customer replies to the scheduled delivery message and the confirmation is saved on the order.
  • Pick another day: the stop goes back into the route for the right day, with no manual entry.
  • It's on record: every change goes back to the order in your system, and customer service sees the same thing operations does.

Tracking an order on WhatsApp has two sides. One is notifying: the message goes out from the company at each stage of the delivery, without the customer asking. Trazzo does that, from the day's route. The other is answering: the customer writes in whenever they want, with their own question.

Templates and cost

Templates, consent and the cost of each update

An update the company initiates can only go out as a template approved by Meta, with its category. Delivery updates are utility templates: they inform the customer about something they already bought, with no promotions. To send them you need the customer's consent (opt-in), which is usually requested when the order is taken.

Utility templates are always charged. Replies to what the customer writes inside the 24-hour window are service messages, with a free allowance per number per month; past that allowance, they are billed at the utility rate. You pay Meta directly for the messages, with your own account and no Vantegrate markup.

Do I need the official WhatsApp Business API?

Does it work if I deliver with contract drivers?

Yes. The update comes from the route, not from the driver: the contract driver uses the same app, and the updates go out just the same when they start the route, when they are getting close and when they close the stop. The only thing to agree on beforehand is that they use the app.

Does it integrate with my ERP or my online store?

Yes. Orders come in from Salesforce, SAP, Oracle or Microsoft Dynamics through a direct connector, and from any other system or online store through APIs and webhooks. The status of each delivery and the link to its evidence are written back to the original order.
