In one sentence

A chatbot is a program that simulates a conversation with people through text or voice, answering questions automatically. Modern chatbots use artificial intelligence to understand natural language and solve tasks, not just follow a fixed script of options.

Chatbot definition

A chatbot is a program that holds a conversation with people through text or voice, interpreting what the user writes and responding automatically, without human intervention in each interaction. It lives where people already talk: WhatsApp, the website, social media or an internal support channel. Its job is to answer frequent questions, capture data, guide a purchase or hand off to a person when the case calls for it.

The big divide is between two generations. Rule-based chatbots follow a closed decision tree: they show buttons or menus ("Press 1 for sales, 2 for support") and only understand the paths a human programmed in advance. AI chatbots use natural language processing and language models to understand free-form sentences, keep context and generate responses, even if the user does not type the exact word the system expected.

When the chatbot stops just answering and starts executing actions on its own (checking an order, creating a ticket, scheduling a visit), it gets close to the concept of an AI agent, which is part of what Vantegrate designs and implements. A traditional chatbot informs; an agent also operates on real systems.

How a chatbot works under the hood

Every chatbot receives a message, interprets it and decides on a response. The difference lies in how it interprets. A rule-based bot does pattern matching: it looks for keywords or waits for you to tap a button, and if it finds no match, it repeats the menu or replies "I didn't understand". An AI bot converts your sentence into a numerical representation, identifies the intent (what you want to achieve) and the entities (data such as an order number or a date), and only then builds the response.

The most capable chatbots today rely on an LLM, the language model that generates fluent text. To keep that model from making up data, it is connected to the company's real sources through RAG: before responding, the system retrieves the right information (catalog, return policy, shipment status) and passes it to the model as context. That way the response is conversational but stays anchored in verified data, not in what the model "remembers".

The three generations of chatbots

TypeHow it understandsWhen it makes sense
Rule-based (menus)Fixed buttons and keywordsSimple, highly repetitive flows, short FAQs
Conversational AINatural language and intentVaried questions, 24/7 support, multiple topics
AI agentUnderstands and executes actions in systemsEnd-to-end resolution: orders, appointments, payments

Why it matters for a business

The concrete value of a chatbot is availability and volume. It responds at any hour, answers thousands of people at once and takes on the repetitive questions so the human team can spend its time on complex or higher-value cases. In Latin America this carries special weight on WhatsApp, where much of the commercial relationship already happens over messaging and customers expect an immediate response.

A concrete example in Argentina: a consumer products distributor receives dozens of orders a day over WhatsApp from neighborhood stores asking about prices, stock and the status of their delivery. A well-built chatbot answers price and availability instantly, records the order, confirms the delivery window and only escalates to a sales rep when the store wants to negotiate a discount. The result usually sought is to cut first response time from hours to seconds and free the team from mechanical inquiries.

What a good chatbot handles today

  • Answering frequently asked questions with up-to-date company information
  • Capturing and qualifying leads before passing them to sales
  • Checking the status of an order or a shipment in real time
  • Scheduling appointments, demos or visits
  • Collecting payment or sending a payment link within the conversation
  • Handing off to a person with full context when needed (human handoff)

How it differs from an AI agent

This is the most common confusion. A chatbot converses: it understands, informs and, at most, follows a predefined flow. An agent reasons and acts: it decides which steps to take, calls tools and external systems, and completes a task end to end without every step being prewritten. Put briefly: the chatbot tells you the status of your order; the agent, if you ask to change the delivery address, actually changes it in the system and confirms it to you. Many projects start as a chatbot and evolve into an agent as they are given access to more systems.

Common mistakes when implementing one

The most expensive one is launching a rule-based bot and selling it as "intelligent": the customer gets frustrated when they type something outside the menu and the bot does not understand. The second is not preparing a good handoff: if the bot cannot pass the conversation to a person with the full context, it creates more friction than value. The third is releasing an LLM without grounding in your own data, which produces responses that sound right but may be false (a hallucination). A serious business chatbot always combines natural language, a connection to real data and a clear path to a human.

FAQs about Chatbot

What is a chatbot?

A chatbot is a program that holds a conversation with people through text or voice, interpreting what the user writes and responding automatically. It lives on channels such as WhatsApp, the website or social media, and it is used to answer frequent questions, capture data, guide purchases or hand off to a person when the case requires it. The most advanced ones use artificial intelligence to understand free-form language.

What is the difference between a chatbot and an AI agent?

A chatbot converses: it understands what you tell it, informs and, at most, follows a predefined flow. An AI agent, in addition to conversing, reasons and executes real actions in the company's systems, such as modifying an order, creating a ticket or scheduling an appointment, completing the task end to end. In short, the chatbot tells you the status of your order; the agent can change the delivery address and confirm it in the system.

What types of chatbots are there?

There are three main types. Rule-based ones use fixed menus and buttons and only understand the paths programmed in advance, ideal for simple flows. Conversational chatbots with artificial intelligence understand natural language and intent, and work for varied questions and 24/7 support. AI agents go one step further: they understand and also execute actions in systems, resolving complete tasks such as payments, appointments or order changes.

How does a chatbot avoid giving false answers?

An AI chatbot can make up data if it relies only on the language model. To prevent this, a technique called grounding or RAG is used: before responding, the system retrieves the correct information from the company's real sources, such as the catalog or its policies, and passes it to the model as context. That way the response is conversational but stays anchored in verified data, not in the model's assumptions.

Does a chatbot work for WhatsApp in Argentina?

Yes, and it is one of the highest-impact uses in Latin America, where much of the commercial relationship already happens over WhatsApp. A WhatsApp chatbot answers questions about price, stock and order status instantly, records orders, schedules visits and even sends payment links, responding at any hour. What matters is that it combines natural language, a connection to the business's real data and the option to hand off to a person when needed.
